Policies
- Access to the property is limited to your booked rental hours—early entry is not permitted. All event logistics, including setup, load-in, sound check, and wrap, will need to take place within the hours specified in section one of your rental agreement. It is required that all guests associated with the event have vacated the property by your scheduled end time.
- Client shall deliver all screening files, including but not limited to Digital Cinema Packages (DCPs), ProRes files, and H.264 files, to Now Instant upon confirmation of the booking and no later than seventy-two (72) hours prior to the scheduled rental start time. Now Instant is not responsible for technical difficulties, delays, or playback issues resulting from screening files being delivered less than seventy-two (72) hours prior to the scheduled rental.
- All DCPs must be delivered as a single, intact DCP folder containing all required files, including but not limited to MXF file(s), Composition Playlist (CPL), Packing List (PKL), and ASSETMAP. The DCP folder must be downloadable in its entirety. DCPs that require individual files to be downloaded separately, reconstructed, or manually reassembled cannot be ingested into Now Instant’s Dolby IMS3000 cinema server and will result in ingest failure. Client is solely responsible for ensuring that the delivery method preserves the original DCP folder structure and file relationships.
- Client may deliver screening files on an external drive or laptop at the time of the scheduled rental, provided that advance notice is given. In such cases, ingestion, transfer, or troubleshooting time may be required prior to playback, and any time required will be counted against the booked rental period. Now Instant is not responsible for technical difficulties, reduced screening time, or playback issues arising from late delivery, unsupported drive formats, improper DCP packaging, or reliance on quick ingest workflows. Clients are strongly encouraged to deliver screening files in advance to allow sufficient time for full ingest, verification, and testing prior to the scheduled screening.
- Client, client’s agents, employees, staff, family, invitees, guests, or any other persons associated with client may not enter the Property before the agreed upon rental time referenced in the rental agreement on the day of the Event, and client, client’s agents, employees, staff, family, invitees, guests, or any other persons associated with the client must complete their use and surrender occupancy of the Property by the End Time stated in Section One of the rental agreement on the day of the Event, leaving the Property in a safe and clean condition inferior in no way to that condition the Property was in immediately prior to occupancy by the client.
- Any outside food items require prior written approval from Now Instant. Approved foods must be served and consumed in the Bar area throughout the entirety of the rental period. Outside food items are not permitted in the Screening Room. Cooking, preparation, or heating of food items is not permitted on-site. Any outside concession items, such as pre-packaged candy and popcorn are not permitted. All BYOB beverages must be canned or bottled. If Client wishes to bring BYOB beverages that require pouring into plastic cups, Client agrees that all BYOB open cups must be served and consumed in the Bar area throughout the entirety of the rental period. Open cups are not permitted in the Screening Room.
- Client must receive prior written approval from Now Instant for the right to bring outside refreshments, catering equipment, rentals, and other equipment onto the Property for the purpose of the Event. Please note The Screening Room’s seating is fixed. Chairs cannot be removed or added. For any music bookings, Client must provide all equipment required for the performance including but not limited to mixers, PA’s, mic stands, and amplifiers. Please share with Now Instant a list of any anticipated equipment for your event upon booking so the venue can be prepared to accommodate.
- Now Instant is not liable for any damage or loss to any personal property of the client, client’s agents, employees, staff, family, invitees, guests, or any other persons associated with the client unless Now Instant, Now Instant’s agents, employees or site representative willfully damage it.
- Client shall appoint a site representative for the Event. This representative must be on the Property at all times during the Event and under no circumstances may any of the client’s agents, employees, staff, family, invitees, guests, or any other persons associated with licensee be on the Property if the client’s site representative is not also on the Property. Client shall inform Now Instant in writing in advance of any personnel who may be present at the Event.
- Now Instant shall not be responsible to provide and the premises do not contain parking for Client or any of client’s guests.
- The maximum occupancy of the Property for Client’s Event is 100 persons. Anyone beyond this amount must be denied occupancy per city fire and safety regulations and Client is required to monitor attendance to not exceed this amount.
- Client may use Now Instant’s ticketing service for an additional fee of 15% of Client’s total ticket sales for the Event, and must schedule with Now Instant upon booking if so desired. Facilitation of Online Ticketing on behalf of Now Instant includes a private URL listing on Now Instant’s Site https://now-instant.la where tickets can be purchased, the emailing of QR ticket confirmations and receipts to purchasing customers, and coordination of guest check-ins at the front desk. Stripe processing fees of 2.9% + $.30 per transaction, and Filmbot processing fees of $1 per transaction apply, and are non-negotiable. Client is permitted to select whether Filmbot processing fees will be their responsibility or the responsibility of event attendees. 85% of proceeds of Ticket Sales will be remitted to Client via check following the completion of the Event.
- Payment of the Rental Fee per the below rate schedule is due 72 hours prior to the scheduled rental. Now Instant will follow up with an email reminder 96 business hours prior. If payment is not received by 48 hours prior to the scheduled rental, the booking will be canceled, and the Client will be charged a $250 cancellation fee. All bookings include Sound and Picture test/tech check, Screening, On-Site Manager, Q+A Setup, Projectionist, and Bar Service for Pre and Post Screening Reception.
- Upon the execution of this Agreement, client shall concurrently execute and sign Now Instant’s Credit Card Authorization Agreement to reserve the Event. The client’s requested date and time for the Event will not be reserved unless the Credit Card Authorization Agreement is completed. This authorization is for any outstanding charges related to unpaid rental fees, additional time or usage (“overages”), damages, cleaning or any other costs incurred during or as a result of the client’s Event. If the Property is damaged, not in a state of good condition, or in any condition inferior to that condition the Property was in immediately prior to occupancy or possession by client, Repair costs will be charged to the card provided. A state of good condition includes, but is not limited to, clean theater, bathrooms, bookstore, and lounge, with absence of physical damage to the Property. If full payment of the Rental Fee is not received by 48 hours prior to the scheduled rental, the booking will be canceled, and the provided card will be used to charge a $250 cancellation fee. If additional charges are incurred, Now Instant may charge the client’s provided card for the corresponding amount without requiring additional authorization. Client will receive an invoice or receipt detailing any additional charges prior to or concurrent with such charge.
- Cancellation. Now Instant agrees to reserve use of the Property to the exclusion of other business opportunities. Client may cancel this Agreement by giving written notice of such cancellation to Now Instant. Client shall be provided a full refund if they cancel the Event at any point up to 14 days prior to the Event date. If Client cancels the Event with less than fourteen (14) days’ notice, Licensee will be charged a $250 cancellation fee.
- Change of date. If Client would like to change the date of the scheduled rental, this must be requested at least seventy-two (72) hours prior to the original scheduled rental date and time so as to not incur an additional fee. If Client requests a change to their scheduled rental date with less than 72 hours notice, they can do so, but will be charged an additional $250 change fee.
- Event Restrictions and Limitations. Client shall not charge any person admission to enter the Property, or charge admission to attend an Event on the Property without the express written consent of Now Instant prior to the Event. Further, Client shall not seek contributions, conduct fundraising, give door prizes, promote commercial products, or sell articles while on the Property without the express written consent of Now Instant prior to the Event. Events must be invitation only such that all persons attending must be personally invited. Client shall not conduct an Event on the Property open to the general public. Persons attending the Event must be identified and given entry in a manner appropriate to the purpose and nature of the Event.
- Without the explicit written permission of Now Instant to the contrary, client shall not use Now Instant’s name to endorse client’s use of the Property, including but not limited to, use of Now Instant’s name in connection with any Event on the Property.
- Noise. Licensee shall not create a public nuisance on the Property or otherwise disturb or annoy the Property’s neighbors. Licensee agrees that the Event on the Property shall not constitute a public nuisance. Licensee shall exercise ordinary care to incorporate all practicable noise attenuation measures and maintain control over all noise levels in such a manner so as not to disturb or annoy Property’s neighbors. Now Instant’s prior written consent is required for use of amplification equipment at an Event and noise attenuation measures must be used to mitigate any disturbance of the Property’s neighbors. Neighborhood Quiet Hours begin at 10:30 p.m. Licensee agrees to notify their attendees and guests to remain inside the property from 10:30-11, if the Event is scheduled during this time.
